As a programme coordinator, you will be based at Chongqing Medical University (CQMU), China, as a key member of the Chongqing Medical University-University of Leicester (CQMU-UoL) Joint Education Institute (JEI) team.

In this role you will provide excellent service and administrative support to all of the Chongqing JEI undergraduate taught courses and future teaching and research initiatives. You will be based in China, though the role may involve occasional work and/or training related trips to the UK that would be scheduled based on the academic calendar and the needs of the business, and discussed with the postholder in advance.

You will be responsible, from induction and registration through to graduation, for providing Professional Services staff support to the Leicester Chongqing Joint Educational Institute (JEI) professional services and academic staff, and for maintaining and improving Chongqing and Leicester-based administrative activities throughout the lifecycle of a student.

Provide administrative support to the Leicester Chongqing JEI professional services and academic staff to ensure that University visits to China run smoothly and effectively. Tasks to include: visa and travel advice and support to university staff, organising accommodation and travel through communication with Chongqing Medical University (CQMU) and our own staff based in China. Assist in all aspects of CPD/’Teaching of Teachers’ programmes for visiting staff from CQMU.

Delivery of an excellent service to staff, responding quickly and effectively to queries and issues. Ensuring that communication with staff is clear and timely. Resolve issues/queries independently and recommend alternative sources/courses of action if unable to assist, to ensure that efficient, day to day service is delivered.

Provide executive assistant support to the University’s JEI Director in relation to Chongqing JEI business.

Provide oversight and liaise with internal and CQMU teams for tasks supporting UoL students on exchange visits to CQMU and CQMU students to UoL; such tasks to include but not exclusively: marketing and promotion, student registration, coordinating travel arrangements and visa guidance.

Act as a filter for issues/problems referred to supervisor/manager, processing various aspects of supervisor’s/manager’s responsibilities where appropriate, to provide immediate
support/problem resolution. Any complex issues should be escalated to the CQMU-UoL JEI Partnership Manager for discussion and resolution.

Organise and attend JEI meetings as and when required. Tasks to include: preparing papers and taking of minutes, logging of actions and progressing of actions during the meeting cycles. Meetings typically take place on a monthly or quarterly basis depending on the meeting. Provide support to any temporary break-out groups that any of the delivery groups decide to establish.

Working closely with the University’s JEI programme Academic Directors, Partnership Manager and Business Administration Managers to ensure that a set of common operating procedures are implemented across all areas of work, advising on compliance with University procedures and regulations whilst maintaining an awareness of the relevant differences between the UK and China.

Providing support for non-programme specific events at the University of Leicester and CQMU sites. Such events may be ad hoc in nature but require Professional Services Team support.

Travel to the UK occasionally to enhance transnational educational programmes.

Analyse management information, including: financial reports and project plans, recommending action where appropriate. Identify gaps or shortfalls in information and search for sources of information to fill these.

Set and monitor - in conjunction with the CQMU-UoL JEI Partnership Manager - service objectives and standards within own area of work to maximise service quality and efficiency.

Work closely with the Chongqing JEI Partnership Manager and Business Administration Managers to ensure the continued success of the Chongqing JEI and to inform, develop and deliver the Chongqing JEI programmes, future research initiatives and business cases.

Providing in both Leicester and CQMU (remote and onsite) training and support to junior UoL administrator(s) based in both sites, overseeing their work.
